Job Description:
The Institute for Biology, Engineering, and Medicine (or I-BEAM) is a new multidisciplinary institute that draws on faculty from across the institution to address critical challenges in medicine and health. The Program Coordinator provides administrative support for I-BEAM leadership and the master’s and PhD students who participate in its academic programs. This person will be on the ground floor of a new enterprise at Brown University and take part in shaping its culture and success.
The Program Coordinator manages the calendar for I-BEAM including its leaders as well as its community events. They ensure communications reach I-BEAM stakeholders on campus as well as the relevant national and global community. They also provide administrative support for I-BEAM’s activities which include workshops and symposia, fundraising, grant writing, engagement, outreach, grants management, and academic programming specifically the ScM and the PhD in Biomedical Engineering.
Brown University’s Master of Science in Biomedical Engineering is an intensive STEM masters offered jointly between the School of Engineering and the Division of Biology and Medicine. Students learn how to apply the rigors of engineering to solving problems that improve human health in all contexts. Many of these students complete thesis research in the laboratories of IBEAM faculty. PhD students who complete longer degree programs that center on research are also served by I-BEAM. The I-BEAM Program Coordinator organizes and supports the development, implementation, and maintenance of various non-academic aspects of these programs and is cross-trained to provide support and continuity for recruitment, marketing, and event planning. Responsibilities include, but are not limited to, coordinating relevant experiences and thesis research in BME faculty labs and monitoring student progress throughout the program ensuring policies are followed. The Coordinator provides support for interactions with the Registrar, OISSS and School of Engineering administration on issues of student status, graduation, and tuition payments, as examples. They also manage the workflow related to the policies and documentation relevant to the completion of the master’s degree and communicate and schedule both faculty and students alike for associated events. The coordinator will also update the GSIM system to account for RA and TA positions for master’s students in particular. They will also deploy, track, and compile data from student and partner outreach initiatives and use web-based data repositories and data dashboards to provide strategic information.

The successful candidate, as a minimum, should have the following background:
Education and Experience
- Bachelor’s degree or equivalent combination of education and experience required.
- 1-2 years program coordination and administration experience preferably in an academic environment.
- Customer service and event planning experience preferred.

- Ability to independently problem solve and prioritize workload in a multi-task environment while maintaining careful attention to detail.
- Excellent written and interpersonal communication skills.
- Ability to work independently and implement short and long-term goals independently, but also as a strong team member when the situation warrants.
- Strong analytical, research and problem-solving skills.
- High level of computer expertise and continued interest in maintaining skills: Computer proficiency in Microsoft Office Suite (Word and Excel) and Slate and other CRM platforms.
- Strong customer service skills, plus the ability to maintain confidentiality.
- Thorough knowledge of office systems (records maintenance, procedures, etc.).
- Detail oriented with a high level of accuracy.
- Ability to work under pressure and exercise tact, discretion, judgment and ability to prioritize task completion.
- Ability to work with a diverse population and handle confidential information with discretion and maintain strict confidentiality at all times.
