Brown University — Purchasing and Database Coordinator

Job Description:

Brown Dining Services is a self-operated auxiliary unit of Brown University with an annual budget of $38 million, and annual food and non-food purchases of $13 million. Under the direction of the Director of Finance, the Purchasing and Database Specialist is responsible for coordinating the purchase of all food and non-food supplies and services. This position will oversee union employees working on the dock in Lead Receiver and Receiver positions. This position will work closely with the Senior Leadership Team and their direct reports.

Major responsibilities included but not limited to:

  • Purchase high quality, competitively priced food, goods, and services.
  • Create Purchase Orders
  • Obtain price quotes and product availability
  • Oversee delivery times and frequency
  • Ensure problems (out of stocks and returns) are corrected swiftly
  • Develop and maintain vendor relationships.
  • Assist in researching, assessing, and sampling new products.
  • Evaluate new product appropriateness with the Director of Wellness and Nutrition.
  • Ensure procurement needs are met in a cost effective and timely manner.
  • Maintain files of contracts, product specifications, vendor lists, catalogues, cost and discount information.
  • Process contract adjustments; including cancellations, additions, modifications and separations.
  • Coordinate with managers to monitor inventory and determine supply needs.
  • Assist in the management and maintenance of food management systems.
  • Perform the administrative function as it relates to all food item data in food management system
  • Manage union staff
  • Assist in hiring and oversee training for specified union staff
  • Foster effective communication among staff
  • Ensure compliance with required EHS training for direct reports
  • Write annual union performance reviews
  • Complete weekly payroll for all union staff
  • Verify invoices against product received and orders placed.  Ensure accuracy of negotiated pricing.
  • Assist in development and execution of inventory control processes.
  • Assist in review of plate costing and make recommendations to maintain cost of goods expectations.
  • Partner with Director of Finance to establish and report Key Performance Indicators (KPI’s) to benchmark and monitor costs.
  • Provide research, reporting, and analysis to Dining’s Senior Leadership team, as needed.

Education and Experience

  • Associate’s Degree and 3-5 years’ experience in food purchasing or equivalent combination of education and experience.
  • 1-2 years of related experience, or equivalent combination of skills and experience
  • Experience in database and food management systems required
  • Experience in higher-ed industry preferred
  • Experience in the Foodservice industry preferred
  • Ability to work collaboratively and cross-functionally
  • Excellent communication and interpersonal skills
  • Excellent analytical skills and attention to detail
  • Proficiency in Microsoft Excel, as well as other Microsoft Office applications
  • Possess a willingness and ability to support and promote a diverse and inclusive campus community
