Job Description:

The Saxena Center for Contemporary South Asia is currently seeking a motivated and dynamic Events and Communications Coordinator to join its operations. Reporting to the Saxena Center Program Manager, the Events and Communications Coordinator takes primary responsibility for events and communications production for the Saxena Center, coordinating and connecting with relevant departments and community partners as appropriate to elevate the profile of the Center.

In collaboration with the Program Manager, the Events and Communications Coordinator creates a strategic plan for Center communications for digital platforms and print publications, with a focus on a digital-first communications strategy, including the Center’s annual report, three websites, and all social media platforms. This position designs, produces, and distributes digital content and graphics for social media campaigns, events, reports, and center marketing as needed.

This position coordinates the Saxena Center’s 50+ annual events, managing all aspects of event production including communication and coordination with guest speakers upon acceptance of invitation, creation and distribution of marketing materials, coordination with faculty hosts, day of logistics, follow-up, payments, and tracking event metrics. The Events & Communications Coordinator is primary point person in arranging catering, media services, booking event spaces, and organizing faculty dinners. This position provides speakers with high level customer service in coordinating travel, visa procurement, and processing complex international payments.

The Events & Communications Coordinator provides onsite support and shares recommendations to event organizers, leading them from idea through event production that reaches the strategic goals of the host and Center.  This position collects metrics on events and communications campaigns to inform the strategic planning and resource allocations of the center.

The position supports day-to-day operations within the center and manages special projects as assigned by the Director and Assistant Director.  This position is responsible for hiring, training, and supervising student workers for event and communications functions.

Education and Experience

  • Bachelor’s Degree or equivalent combination of skills and experience, plus 2-3 years’ administrative experience, preferably in a university or similar setting.
  • Experience maintaining websites and updating online content preferred.

  • Excellent prioritizing skills to manage the needs of multiple constituents.
  • Strong technical aptitude and willingness to learn new software, programs, and skills as needed.
  • Confidence troubleshooting technology (A/V set up, laptops, phone apps, etc.)
  • Flexibility to shift gears as priorities change and needs arise.
  • Self-motivated, proactive, team player, who can maintain positive working relationships.
  • Strong internet skills and expertise in G-Suite.
  • Strong attention to detail and organizational skills.
  • Demonstrated ability to support a community of diverse perspectives and cultures in an inclusive environment.
