Penn State, one of the top public universities in the country with almost 75,000 undergraduates and more than 750,000 alumni across the world, is seeking an Assistant Director for Recruitment and Engagement at the University Park campus who is passionate about customer service and desires to lead a team of public-facing staff. Reporting to the Associate Director for Recruitment and Engagement, the Assistant Director will train and support the team responsible for frontline interaction with the many audiences served by the Undergraduate Admissions Office, while also supporting the on-campus Visit Team with outreach and events. This position is based at the University Park campus and currently offers a flexible, hybrid working environment.

The successful candidate will be responsible for the following:

  • Providing oversight of the front-line counselors that interact with prospective students and families via phone, email, and presentations.
  • Supporting and developing the team by providing on-going training and professional development; sharing timely, relevant information to staff to allow for appropriate and consistent answers to questions throughout the admissions cycle; and ensuring the highest level of customer service is provided to all audiences.
  • Coordinating with internal departments within admissions to gather and share information about application technology, admissions processes, and external talking points to ensure front-facing team and all counselors are equipped to communicate with external audiences.
  • Managing the schedule for all staff expected to participate in front-facing shifts for Undergraduate Admissions, while also coordinating office-wide trainings and topics for monthly staff meetings to ensure staff is informed on essential topics.
  • Developing training and documentation for front-facing staff, including talking points and required messaging, best practices for phone and email interactions, and baseline expectations and knowledge required for all staff working with external audiences and utilizing technology systems related to the admissions process.
  • Supporting the on-campus Visit Team at University Park by providing training and best practices to staff members who present information sessions both in person and virtually.
  • Developing and coordinating virtual visits on a wide array of special topics for both the admissions office and the larger University community, as well as assisting the Visit Team with planning and staffing on-campus visitation events.
  • Participating in counseling activities on a regular basis, which includes group presentations, phone counseling shifts, virtual and in-person appointments, and email interactions, as well as staffing large-scale events and other initiatives in support of the Undergraduate Admissions Office.

Education and experience:

Typically requires a Bachelor's degree or higher plus 4 years of related experience or an equivalent combination of education and experience. A Master's Degree is preferred.

  • Excellent interpersonal skills, which includes possessing excellent verbal, written, and presentation skills and a strong ability and desire to connect with prospective students and families.
  • Exceptional customer service skills to effectively communicate with prospective students and their families about the admissions process and their options, even during high-volume times of the year.
  • Demonstrated flexibility and problem-solving skills in an environment with consistent change and many moving parts.
  • Ability to manage concurrent projects, accurately execute work with a high level of detail, and possess strong organizational skills.
  • Demonstrate leadership in a collaborative, team-focused environment, with the ability to clearly articulate goals and expectations and troubleshoot issues as needed. Management experience is preferred.
  • Strong technical skills and understand the value of utilizing technology to effectively perform job functions. Experience with PeopleSoft, Slate, and Microsoft Office 365 suite is a bonus, but not a requirement.
  • Ability to work nights and/or weekends as required in support of events hosted by the Undergraduate Admissions Office.
