Job Description:

The Student Financial Services Operations Specialist is responsible for operations of student accounts and loan accounts including monitoring daily exception reports for quality control of transactions and data; resolving inaccuracies; posting support and adjustments; calculating eligibility for Federal PLUS and private loans; monitoring the accuracy of student account refunds; and assisting the Student Financial Services Operations Manager with technical systems testing and setup.

This individual in this position is expected to maintain up-to-date knowledge of job related information through on-going job shadowing, cross-training, and knowledge sharing. Must maintain up-to-date knowledge of Federal regulations and University policies concerning student accounts and loan borrowing and repayment. They must display effective independent decision-making skills and ability to apply sound judgement with respect to procedures and professionalism. This position requires a strong commitment to customer service, and a high degree of tact and confidentiality.

The individual in this position is responsible for providing backup/support of the Student Financial Services Operations Manager and the Loan Operations Specialist as needed. This position must interact with a variety of individuals under many different circumstances and handle a wide variety of tasks. The candidate must possess the ability to effectively communicate and adhere to complex regulatory policies. The candidate must be calm and tactful when discussing sensitive information.

This position requires good technical skill and a willingness/ability to learn new systems. The candidate must be able to effectively communicate information related to navigating University websites and systems related to student accounts and student loans.

Major Responsibility: Assist with the execution of daily internal processes & operations of student accounts; perform analysis of reports to identify issues or actionable items, required account maintenance and/or accuracy of transactions. 50%

Major Responsibility: Assist with setup, support, testing, and documentation of implementation/updates/upgrades of systems used by Student Financial Services. 20%

Major Responsibility: Assist with the execution of daily internal processes & operations of student loan accounts; perform analysis of reports to identify issues or actionable items, required account maintenance and/or accuracy of transactions. 20%

Major Responsibility: Assist with other Student Financial Services functions as needed. 10%

Dimensions

  • Approximately 12,000 students attend Brown each semester with total charges of over $500M
  • Approximately 1,300 students enroll in the Installment Payment Plan each semester
  • Approximately 400 inactive students with past due balances
  • Process and disburse approximately 2,000 Federal Direct Loans annually at approximately $35M
  • The student loan system contains approximately 3,000 Federal Perkins and institutional loans with an approximate value of $18M
  • Approximately 700 loan borrowers separate from the University each year and are required to complete loan exit counseling

Job Qualifications and Competencies

  • Bachelor’s degree in business related field or equivalent combination of education and professional experience Experience
  • 2-3 years of previous professional experience working with large scale, complex systems (data structure, usage, reporting, interfaces, etc), preferably in higher education industry
  • Experience in customer service role dealing with confidential complex situations Job Competencies
  • Must understand and comply with Federal regulations and University policies.
  • Using federal methodology, conduct analysis of student and parent ability to borrow.
  • Must demonstrate evidence of detailed-oriented technical skills, customer service skills, communication skills.
  • Ability to learn new systems quickly and adapt to changing technologies; MS Office proficiency required; strong excel skills; experience in Banner, TouchNet, Common Origination and Disbursement (COD), EdConnect, and AppWorx preferred.
  • Ability to maintain confidentiality of sensitive information; ability to handle sensitive information in a tactful manner and effectively diffuse difficult calls.
  • Excellent attention to detail and ability to focus and priorities in a pressured environment.
  • Excellent interpersonal skills are required to effectively communicate with a wide diversity of parents, students and other university offices.
  • Strong organizational and time-management skills; ability to both work and act independently and to work cohesively in a group.
  • Willingness and ability to demonstrate a positive attitude and genuine interest in assisting students, often under stressful conditions.
  • Possess a willingness and ability to support a diverse and inclusive environment
  • Ability to work in various locations while demonstrating a high level of professionalism with less direct supervision.
  • Ability to apply sound judgement and independent decision-making skills with respect to procedures
