Job Description:

The Program Administration Associate provides administrative data coordination and support for the Office of Alumni Relations, assisting with the implementation of the department’s programmatic pillars. This includes direct support involving Phenix data input, management and reporting for all programmatic areas.  The Associate also supports operations for information and communication technology utilized by our programs, managing audio/visual needs and supporting the logistics of meeting set-up and coordination.  The incumbent is relied upon to research, analyze and resolve issues that arise especially in relation to data collection/reporting.

Additional responsibilities will be assigned on an as-needed basis and may include providing event support, supporting maintenance and tracking of informational assets, facilitating relocation or office set-up needs, and assisting with the staff onboarding process.

Required Qualifications

  • Demonstrated ability with computer software programs including but not limited to, word processing, spreadsheets, Microsoft Office, specifically Excel, Word and Outlook, and Google Workplace
  • Must have a degree of computer proficiency and Information Management Skills
  • Must be detail-oriented and have an ability to handle and complete multiple projects concurrently
  • Ability to work occasional nights and weekends.

Preferred Qualifications

  • Experience in a university setting preferred.
  • Experience with event or meeting planning and scheduling

Education and experience

  • Bachelor’s degree or an equivalent combination of education and experience.
  • Minimum of 2 years of experience in a related field such as development, volunteer management,  alumni programming, event planning and support, etc.
