Job Description:

The Executive Assistant is responsible for providing executive level, advanced, and confidential administrative support to the Dean of the College, and limited administrative and calendar support for the College’s Deputy Deans. The Executive Assistant is the first point of contact and liaison for the Dean of the College, ensuring effective and efficient workflow and communication with senior administration, faculty, students, parents, and outside parties. The incumbent proactively organizes the Deans’ schedules, manages and monitors critical departmental procedures and key phases of projects, and communicates broadly on behalf of the Dean of the College.

The Executive Assistant has an in-depth understanding of policies, processes, and programs that are managed by the College, and how they support the University’s mission. In collaboration with College deans and professional staff, the incumbent researches, analyzes and prepares correspondence, talking points, and executive summaries that contribute to effective administration, planning and decision making. The Executive Assistant also supports new initiatives and special projects in the College, and will provide back-up support to assigned programs and general administrative support for the College’s office-wide procedures and processes.

This is a dual graded position posting. The candidate’s qualifications/experience will determine if the position is filled at a grade 8 or grade 9 level.


  • Grade 8 Level: Associate’s degree and 3-5 years of relevant experience or equivalent.
  • Grade 9 Level: Bachelor’s degree and 3-5 years of relevant experience.
  • Previous experience in higher education preferred.
  • Experience, interest, and commitment to working with people from diverse racial, socioeconomic, and other backgrounds and ability to effectively collaborate and communicate with diverse faculty, students, and administrators. Demonstrated ability to support a community of diverse perspectives and cultures in an inclusive environment.
  • Initiative and ability to work independently and as an effective team member in a diverse work environment and campus community.
  • Strong organizational, administrative and time management skills. Project management experience and ability highly desired.
  • Computer expertise and continued interest in maintaining skills and overall proficiency in Microsoft Office and Google suite applications including, but not limited to, email, calendaring, documents, slides, and spreadsheets.
  • Proven ability to demonstrate tact and discretion in preparing, disclosing, and handling information of a confidential, controversial, or sensitive nature received or originated by the Dean of the College.
  • Excellent communication skills – oral, written, editing/proofreading, and interpersonal  – to elicit and proactively communicate information and to prepare clear, informative, and concise materials.
  • Ability to analyze, synthesize, and summarize information and use judgment to independently problem solve, prioritize, and develop/implement short- and long-term goals.
  • Mastery of working in a deadline-driven environment, to manage multiple priorities, and work with sometimes constant interruptions while exercising judgment, diplomacy, poise, and maintaining confidentiality.

This is an on-site position based in Providence, Rhode Island. Occasional evening and weekend work is required to provide critical support to the Dean of the College.
