Job Description:

The Administrative and Financial Coordinator provides payroll support for approximately 650 undergraduate student teaching and research assistants in the Department of Computer Science and will train and provide work direction for two support staff in the payroll team. The incumbent is relied upon to research, analyze and resolve student payroll issues that arise and to make effective use of the team’s time.

The Administrative and Financial Coordinator will also provide day-to-day administrative support for numerous faculty in the Department. This includes tracking financial paperwork such as purchase orders and faculty travel reports, and liaising with internal offices. Responsibilities include: submitting timely reimbursements for faculty, undergraduate and graduate students; processing purchase requisitions; coordinating and tracking Professional Service Agreements and providing meeting coordination as needed.

Additional duties include providing high level assistance to the Director of Graduate Studies and Department Manager with the Master’s in Computer Science program. The incumbent will assist with recruitment and orientation, track student progress and be the first point of contact for student enquiries.

Education and Experience:

  • Associate’s degree with 3 years related experience, or equivalent combination of experience and education.
  • Experience working in academic institutions is preferred.
  • Excellent interpersonal, verbal and written communication skills.
  • Customer-focused, customer service oriented.
  • Excellent attention to detail.
  • Excellent administrative and organization skills.
  • Initiative and ability to work with minimum supervision and as a member of a team.
  • Ability to multitask and prioritize workload.
  • Proficiency in office software, including: Microsoft Office, Microsoft Excel, Acrobat, Zoom and Google platforms.
  • Proficiency with Banner and the Graduate School Information Management tool and Slate once trained in these tools.
  • Demonstrated ability to support a community of diverse perspectives and cultures in an inclusive environment.
