Job Description:

The Administrative and Financial Coordinator is responsible for providing critical high-level support and coordination for a full range of administrative functions for the Advance Clinical and Translational Research (Advance-CTR) initiative. The incumbent plays a key role as a member of a centralized Administrative Core that supports Advance-CTR activities at six partnering entities across the state of Rhode Island. The incumbent will serve as the primary contact for Advance-CTR leadership. This person is responsible for coordinating complex multi-site meetings and events including arranging meeting rooms, materials, audiovisual set-up, agendas, meeting minutes, travel arrangements, and assists with special projects as needed. Coordinates with internal departments and external vendors regarding logistical operations support of all events, approx. 20 per year. The Administrative and Financial Coordinator will play an integral role in the coordination of finance and grant management related activities and will also provide support for project management and communications activities, as needed.

This is a fixed term position with a current end date of 7/31/2026, which may be extended based upon the availability of funding.

Job Qualifications:
Education and Experience

  • Required: Bachelor’s degree plus 1-2 years of related experience
  • or equivalent combination of education and experience.
  • Experience planning events including travel, catering, and logistics.

Job Competencies

  • Possesses a willingness and ability to support a diverse and inclusive campus community
  • Excellent written and verbal communication skills are required.
  • Proficiency in Microsoft Office applications including Excel, PowerPoint and Word is required.
  • Google Calendar, Google Drive and Site experience is preferred.
  • Demonstrated ability to work in a team environment and positively interact with people from diverse backgrounds.
  • Must be a team player with a strong service oriented attitude.
  • Experience overseeing and organizing events is preferred.
  • Knowledge of federal research grants is preferred.
  • Excellent interpersonal skills with demonstrated ability to develop relationships with University and outside stakeholders and effectively and implement collaborative initiatives.
  • Demonstrated ability and flexibility to multi-task, prioritize multiple directives, and manage diverse job responsibilities.
  • Excellent organizational and computer skills.
