Job Description:

Job Summary
Performs duties in support of the Library’s external and internal relations in the areas of stewardship and communications. This is a full-time position working Monday-Friday as a member of the Library’s bargaining unit staff. This position is Hybrid Eligible.

Typical Duties and Responsibilities

  • Manages and conducts processing of material gifts to general collections, including recording, acknowledging, and tracking gift-in-kind donations to the Library
  • Maintains data regarding donors of gifts-in-kind, ensuring accuracy of information within and between data repositories including FileMaker Pro, Airtable, Excel, and Phenix, the Advancement database
  • Works with Gift Accounting Department in Advancement and Library Advancement liaison officers to provide donors with the necessary acknowledgements and tax forms
  • Trains and advises Library staff on gift policies and procedures Conducts research on donors and gifts as needed
  • Drafts stewardship letters as needed
  • Creates contact lists for various purposes as needed
  • Matches and uploads titles purchased using endowment funds in Primo, the Library’s catalog system, to the associated digital bookplate in preparation for annual stewardship mailing
  • Creates electronic bookplates acknowledging graduating Library student staff members annually, and occasionally for new endowments or other special gifts as needed, in conjunction with Technical Services and the Library design specialist Produces twice yearly thank you and solicitation letters to Friends of the Library membership
  • Drafts communications content as needed independently and in collaboration with supervisor and colleagues across the Library and at Brown
  • Staffs the Library’s Social Media Working Group, managing meetings and activities in collaboration with supervisor
  • Maintains the social media calendar
  • Posts approved content to social media channels a few times per week including Facebook, Twitter, and Instagram
  • Assists in a clerical capacity supporting meetings and events for twice yearly Friends of the Library and Library Advisory Council meetings, and other occasional donor-related meetings and events
  • Researches promotional materials/swag as needed
  • Monitors email accounts including Library Gifts and Friends of the Library and replies to or triages messages
  • Notifies Advancement’s Biographical Records Department staff of new donor information that may be obtained during the gift process
  • Assists in the occasional preparation, maintenance, and reconciliation of financial information on gifts (i.e. appraisals)
  • Assists in occasional preparation and production of Library donor publications and annual stewardship mailings
  • Provides gift and donor information to Library and Advancement staff as required

Minimum Qualifications

  • Bachelor’s degree or equivalent level of education and/or experience (e.g., associate’s degree plus two years of relevant experience, or four years of relevant experience)
  • Competent computer skills including ability to use standard computer software packages including Google Suite applications, Microsoft Office applications, Zoom, and FileMaker Pro
  • Willingness and ability to learn new systems and software as needed Basic knowledge of social media with enhanced knowledge preferred
  • Ability to interact favorably with co-workers; staff, students, and faculty across the University; and contacts external to the University
  • Library Union position which must be posted internally for 5 work days prior to posting for external candidate
