Job Description:

The Grants Specialist provides administrative post award management and financial services to campus-based and eligible hospital-based faculty, Department Cost Center Managers, Chairs, Graduate Students, Postdocs, Research Track Faculty, and Tenure Track Faculty who are Principal Investigators (PIs). Using knowledge of Division, University and agency rules and regulations related to research and training grants and contracts the Grants Specialist facilitates the Division of Biology and Medicine research enterprise. The Grants Specialist reviews awards terms and conditions, formulates decisions regarding sponsored project issues, manages budgets, expenditures, reconciles quarterly and prepares final and annual financial reporting for Biology and Medicine departments. Using Brown’s grant management system (Coeus/InfoEd), Workday and sponsor submission portals eCommons,, Proposal Central. Grants Specialist is responsible for sponsored research funding by reviewing awards, ensuring compliance with award terms and conditions, providing guidance regarding sponsored project issues, budget management, expenditure review, and financial reporting. The Grants Specialist reconciles accounts in accordance with federal and nonfederal guidelines for Bio Med departments by insuring costs are allowable, allocable, reasonably and consistently treatment of sponsored project costs. The Grant Specialists post-audits Grant Accounts, creates analytical reports and works closely with the Bio Med Research Administration Director, Financial Manager, and the Office of Sponsored Projects. Effectively communicates award and financial policies to constituents, responsible for fiscal management and award closure of grants and contracts including forecasting to insure award spending is not accelerated and accurate. Uses Workday Financials to assist in approving payroll costings, payroll reallocations, effort certifications, summer salary, cost shares, cost transfers, journal entries, financial reporting, subcontract requisitions and expense approvals. The Grant Specialist is also part of BMRA team ad participates in education and trainings for Bio Med department administrator. This position handles confidential information and is expected to maintain and secure privacy.

Job Qualifications

Education and Experience:

  • Required: Bachelor’s degree with 2-4 years of experience in research administration or accounting/financial/ budgeting experience, or equivalent combination of education and experience.  A degree in Accounting, Finance, Public Health, Science, Engineering or Math field is preferred.
  • Experience with proposal preparation with federal and non-federal grants and using the InfoEd/Coeus grants management (or similar) system
  • Familiarity with eRA Commons, NSF Fastlane, and/or preferred • Higher-Education or non-profit work experience preferred.
