Assistant Director of Information Technology

The Assistant Director of Information Technology for the Bookstore oversees all Bookstore IT systems and is responsible to ensure that they meet the ongoing needs of all operational aspects of the Bookstore. The Assistant director provides oversight of IT Security, infrastructure, hardware, applications, programming and development, and system administration as well as developing strategic plans to ensure IT capabilities are responsive to the needs of the Brown Bookstore and its customers.  This position is responsible for all aspects of application administration for the Bookstore systems and will supervise others. This position is responsible for evaluating, implementing, managing, and supporting the use of technologies, including ongoing application assessments, implementation of additional modules and interfaces, upgrades, testing, optimization, and training. This position is also responsible for developing reports and dashboards used by leadership to manage all Bookstore operations.  The Assistant Director will work closely with the Office of Information Technology (OIT) on all aspects of technology.

Provide business support for daily operations

  • Provide first level support of the NetSuite application (ERP, Ecommerce and POS) and other applications used by the Bookstore staff, engaging the vendor and OIT when needed.
  • Remain current on NetSuite latest releases and review new useful features and functionalities with our business team.  Design, develop and test enhancements in alignment with internal business process requirements.
  • Coordinate with the Bursar’s Office on issues related to student billing and allocating costs from the meal plan management system to the student accounts.
  • Coordinate with the Brown Card Office and Financial Services on issues related to declining balance account usage for retail, and reconciliation.
  • Improve customer service by ensuring that customer facing applications are configured for ease of use, including mobile ordering and web portals
  • Regularly meet with Bookstore departments to address concerns and resolve issues.
  • Coordinate changes to business processes across the organization including ensuring clear and complete documentation of procedures, processes, and training.
  • Research and evaluate systems best practices to support point of sale, inventory management, business intelligence, and areas to ensure maximum operational efficiency.  This may include travel to educational conferences and training sessions.
  • Supervise and mentor up to three direct reports.

Perform application administration for all Bookstore applications

  • Administer and maintain the NetSuite application (ERP, Ecommerce and POS) and other applications used by the Bookstore staff including application configuration, user management and application upgrade management.
  • Monitor and enhance data integrations between Bookstore systems and 3rd party systems/applications (Workday, Banner, Oracle Identity Management, Atrium, and others), working with OIT and other departments as needed.
  • Implement best practices to optimize data flow and data quality.  Train others on best practices and delegate work based on availability and experience.
  • Oversee system improvement projects including but not limited to defining process improvements, system implementations, and dashboard/report development.
  • Effectively communicate changes, enhancements, and modifications – verbally or through written documentation – to management, peers, staff, and other team members to ensure issues and solutions are understood cross-functionally.

Lead application testing, system and user documentation and training

  • Meet regularly with Bookstore departments to understand reporting needs.
  • Use built-in reporting capabilities of applications and configure custom reports to meet business needs.
  • Write SQL queries and provide ad-hoc reports from all systems to support operational or analytic requests
  • Develop and maintain reports and metrics to evaluate business operations
  • Develop and maintain operational dashboards for the benefit of Bookstore leadership

  • Work closely with Bookstore business groups and Collaborate with Audit, Controller, OIT,  and Finance teams to ensure adherence to University policy and procedures as well as PCI requirements.
  • Assist with the development of procedures related to NetSuite system controls and operations, data security and compliance, electronic storage strategy and maintenance.
  • Responsible for compliance with all University and OIT Security Policies and Procedures.
  • Maintain a working knowledge of updates to PCI and IT security requirements.
  • Participate in all Bookstore projects that have operational impact or involve IT applications.  Work with the team to outline and plan the short- and long-term system improvement strategy and manage the completion of tasks, milestones, and components including but not limited to functional requirements, workflows, design specifications, configurations, quality assurance, proper internal controls, implementations, and project reviews.
  • Maintain current knowledge of products and industry trends through software/hardware documentation, training, user conferences, and peer contacts.

Job Qualifications

Education and Experience

  • Bachelor’s Degree preferred in Information Systems, Computer Science, Software Engineering, or equivalent related experience in a technical field.
  • 5 years of experience in ERP systems administration
  • 5 years of experience managing a full-scale IT system of an operation of at least $5-10 million in revenue
  • Basic understanding of networks and troubleshooting, systems management and IT security best practices.
  • Strong data analytics, reporting and database experience (SQL, NetSuite, or other reporting tools, ODBC)
  • Ability to prioritize projects and tasks around fixed deadlines, and to execute ongoing updates to quickly and seamlessly.  Strong organizational, project management, and time management skills.  Ability to effectively prioritize and execute tasks in a high-pressure environment, meet deadlines and work on multiple projects.
  • Ability to balance technical skills with business acumen, ability to transform end-user needs /functional requirements into technical requirements and translate business requirements into business solutions.
  • Understanding of common industry standard business practices in Accounting, Order to Cash, Procure to Pay, Supply Chain, Manufacturing and Warehouse Management.  Knowledge of finance related business process and internal controls.  Solid understanding of the accounting cycle and financial processes.  Strong knowledge finance related business processes such Revenue and expense Management, and General Accounting Principles.
  • Professional NetSuite certifications highly preferred – NetSuite ERP consultant, SuiteCloud Developer, Suite Foundation, or NetSuite Certified Administrator.
  • Advanced understanding of NetSuite configuration, especially billing and revenue, and Boomi integration. NetSuite customization experience and working knowledge of SuiteScript, SuiteTalk, SuiteFlow, CSV imports, user provisioning, defining roles, analytics and scheduling scripts.
  • Full understanding of the NetSuite stack and experienced with all NetSuite modules (Revenue Recognition, Procurement, GL, AP, AR, FA, etc.)
  • ERP data migration and cutover experience

Physical Demands and working conditions

Must be able to remain in a stationary position 30% of the time. Needs to occasionally move about the store to operate a computer and other office equipment.  Occasionally ascends/descends a stairwell to access all levels of the store.  Frequently communicates with students, staff and the general public
