Job Description:

This position provides critical, high-level administrative support to the Department Manager and faculty. This position provides academic and research support for faculty, coordinates purchasing functions, and assists with financial reporting. This position will have a developing role in Workday as needed.

Responsible for the coordination of seminars and other department events, and the preparation of course materials. Arrange travel and hospitalities for conferences and events, and work with outside vendors of scientific/office supplies and equipment. Responsible for purchasing both laboratory and office supplies and maintaining accurate records. This position will provide general office support services for the department and will assist in ad-hoc projects as needed. The Administrative Coordinator has a comprehensive understanding of departmental issues and how they support the research and teaching mission of the department.

Job Qualifications
Education and Experience:

  • Required: Associate’s degree and 2-3 years experience, or the equivalent combination of education and experience.

Job Competencies:

  • Possesses a willingness and ability to support a diverse and inclusive campus community.
  • Computing proficiency with advanced word processing, spreadsheet and database skills, e-and mail and web searching skills. Ability or willingness to learn computing skills as necessary/appropriate, including Workday, Filemaker Pro, University online and P-card Purchasing Systems, and Web-based Purchasing Systems.
  • Knowledge of recordkeeping and principles of fiscal management.
  • Demonstrated ability and flexibility to multi-task, prioritize multiple directives, and manage diverse job responsibilities while maintaining a positive attitude and demonstrating excellent customer service skills.
  • Proven ability to use good judgment, and discretion and maintain confidentiality.
  • Must be detailed oriented and deadline driven.
  • Initiative and judgment to independently problem solve and prioritize.
  • Excellent problem-solving and organizational skills with the ability to work both independently and as a part of a team essential.
  • Due to the cyclical nature of the work, the incumbent must be able to adapt to fluctuations in workload.
