Position Focus:
Reporting to the Vice Provost for Academic Resources and the Provost, the Associate/Assistant Provost for Space Planning serves as the strategic administrative partner for central and athletic campus planning, space allocation, and building renovations. The Associate/Assistant Provost develops strategic and changes management plans for new and long-range capital renovation projects that support academic and programmatic initiatives.

With significant decision-making authority, Associate Provost will:

Build and maintain a comprehensive space inventory: In partnership with the Yale University Office of Facilities, conduct an annual review of classrooms, labs, and other learning spaces, academic and administrative offices, research space, and programmatic spaces on central campus and athletic facilities. Create and maintain a comprehensive repository of central campus spaces that shows, in real time, their occupancy, availability, and utilization. Partner with Yale IT to create and maintain databases that are user-friendly and support long-term space planning.

Create and manage an equitable space allocation process: Develop and maintain space planning guidelines for central campus. Manage space requests and allocations for central campus, utilizing an equitable and transparent process that includes a clear and uniform method for submitting space requests. Support a space planning advisory group convened by the Provost, consisting of faculty members and administrators, that considers space requests during an annual space planning process that resembles the budget planning process. Create opportunities for ongoing feedback from schools and departments about space utilization, needs and priorities. Convene focus groups and administer surveys, as needed.

Strategize planning initiatives: Work closely with provosts and deans to anticipate space needs based on short- and long-term academic priorities and shifting needs on central campus. Work closely with Facilities to create and maintain a 10-year roadmap and capital plan for updating, renovating, and/or newly constructing central campus spaces.

Lead Programming: Provide support to campus planning committees and sub-committees including participation in the Classroom Operations Committee and the Facilities Accessibility Subcommittee. Advise academic and administrative managers in space organization and planning.

Building and renovation management: Work closely with Facilities and colleagues in the Provost's Office to conduct an annual and ongoing review of building renovation projects eligible for funding. Participate in planning committees for major capital renovation projects, which could include classroom renovations, lab renovations, capital equipment funds, and renovations required for new faculty and programs. Coordinate with the Provost, the Vice Provost for Research, and the Provost's Office Business Office to help oversee faculty start-ups and retention packages that include a space component.

Financial Assessment: Assist the Provost in managing the fiscal and budgetary dimensions of the University's space planning and programming agenda. Oversee the Programmatic Renovations bucket of the capital budget.

*The successful candidate will be hired into the position either as an “Assistant Provost” or “Associate Provost” based on the individual's level of experience and background. Applications will be accepted on a rolling basis.

Required Education and Experience:
Advanced degree in a related field. Academic and/or administrative experience.

Required Skill/Ability 1:

Demonstrated experience in the development of facilities and space planning. Considerable knowledge of university facilities, space inventory and management.

Required Skill/Ability 2:

Well-developed decision-making, planning, organizational, problem resolution, and leadership skills.

Required Skill/Ability 3:

Ability to interact with a diverse range of people, including the ability to build trust and consensus with university constituents including faculty, staff, and students.

Required Skill/Ability 4:

Demonstrated analytical skills with the ability to understand budgeting concepts, budget design, and management. Mastery in spreadsheet programs such as MS Excel. Demonstrated experience with productivity and design applications such as MS Teams/PowerPoint/Adobe Acrobat DC or Blue Beam Revu.

Required Skill/Ability 5:

Familiarity with and ability to adhere to personal protective equipment guidelines and requirements. Willingness to inspect construction sites, which includes using stairs and ramps, and conducting site visits throughout the year under different weather conditions.

Preferred Education, Experience and Skills:
Ph.D. Experience in an academic or research institution with direct interaction with faculty and administration.
