This position will provide proactive and responsive administrative support to the Associate Vice President for Student Services and International Education (AVP), including responding to students, creating agendas and scheduling meetings, providing coordination and follow up on projects with different departments within the Students, Equity, and Success (SES) division, the International Education (IE) department, and other units on campus. To do so, they will need to learn and apply knowledge of admissions, registration, enrollment and intake, financial aid, advising, international education, and other College processes & policies, and state & federal regulations.

Essential Job Duties:

  • Provide coordination and help facilitate follow through on projects that involve multiple departments on AVP's behalf
  • Coordinate meetings and agendas; take meeting minutes
  • Schedule appointments and manage AVP's calendar
  • Respond to questions and concerns from prospective and current student in person, by phone and via electronic formats, taking an active role in resolving issues by coordinating with staff in different units
  • Provide support in student enrollment and retention activities such as calling campaigns
  • Provide active logistical and planning support for activities and events in SES and IE, including commencement and orientations
  • Provide active support in preparing documents, reports, and presentations
  • Assist Administrative Assistant 4 with budgets and paperwork, including tracking expenses, verifying invoices, processing travel paperwork, and purchase requisitions
  • Other duties as assigned of a similar level/nature

Qualifications

REQUIRED EDUCATION & EXPERIENCE:

  • One (1) year of experience as an Administrative Assistant 1,

OR

  • Bachelor's degree in business or public administration or closely allied field and two years of responsible office experience at the senior clerical level or higher
  • Clerical or office work experience may be substituted for education on a year-for-year basis
  • Graduate study may substitute for experience on a year-for-year basis.

KNOWLEDGE OF:

  • Microsoft Office Access, Excel, Outlook, PowerPoint and Word programs
  • Electronic database systems such as the Student/Financial Management Systems or equivalent.
  • Effective techniques for front line customer service in person, via electronic formats and over the phone
  • Maintaining accuracy in documenting, maintaining, and/or updating electronic records.
  • Phone operating processes and procedures

SKILL IN:

  • Fostering a climate of equity and belonging through multicultural awareness and responsiveness
  • Time management, organization, and ability to meet competing deadlines/priorities
  • Entering and/or retrieving data accurately in computerized record keeping systems
  • Ability to work as part of a team, as well as independently
  • Responding to difficult and sensitive situations, using sound judgement with the support of supervisors within College/legal guidelines
  • Writing/editing/proofreading clear and concise materials resulting in effective oral and written communication with individuals inside and/or outside of the College
  • Establishing/maintaining effective working relationships at all organizational levels
  • Ability to work with a diverse group of students, staff, and the public in a friendly, courteous, and helpful manner

Conditions of Employment

PHYSICAL WORK ENVIRONMENT:

The College is currently providing services in a mixed modality of operations (both online and in-person services are offered). This position will perform work in a standard office setting, use standard office equipment and physically attend meetings both on and off campus, ability to communicate in person or through appropriate means. Please note, there may be limited opportunities for online work depending on program or area needs. If authorized for online work, employees will need to provide their own workspace and internet access, noting the College will provide technical equipment and support for online work needs.

TERMS OF EMPLOYMENT/SALARY:

This position is allocated to pay range 37 under the Washington State Office of Financial Management higher education salary schedule. Salary placement for new employees is determined by the College. This position works 40 hours per week, with schedule dependent upon department needs. Hiring of this position is contingent on available funding as determined by the College President.
