Massachusetts Institute of Technology — Administrative Support Services and Office Manager

MIT Open Learning seeks someone to manage a team of seven to eight administrative assistants (AAs) and oversee the office of Open Learning.

Responsibilities will include managing AAs through regular check-ins; allocating duties for the admin team to best balance efficiency, staff morale, and professional development goals; hiring AAs; developing and training admin team, overseeing the annual review process and leveraging goals, offering feedback, coaching, providing professional development opportunities, and providing training and other support; and leading the planning of OL’s administrative support services by reviewing job descriptions and OL-wide need and providing administrative support on an as-needed basis, e.g., to fill in for gaps in schedule/coverage. Will also collaborate on overseeing space, designing new configurations, and supporting build-out as needed; serve as direct contact for building and space issues, including office assignments, cleaning schedules, and other requests; collaborate with front desk staff on managing general operations and supplies, ensuring that space is clean and secure, and arranging for repairs and upkeep; manage IS&T contractor and ensure that technical support needs are met; and perform other duties as needed.

Required Qualifications:

  • Bachelor’s degree
  • Three years’ administrative, operations, and/or project management experience
  • Strong leadership and human-centered supervisory skills
  • Ability to develop and manage staff performance, build cohesive and high-performing teams, and advocate for admin team members with OL leadership
  • Excellent interpersonal, relationship management, and client service skills
  • Ability to promote collaboration and cooperation and work effectively and productively in a team-based environment and across all levels

Preferred Qualifications:

  • Two years’ direct supervisory/management experience.
