Job Summary

Reach Every Reader launched in 2018 with the goal of making significant progress on the crisis in early literacy. The initiative formed a dynamic, 5-year partnership between the Harvard Graduate School of Education (HGSE), Massachusetts Institute of Technology (MIT), and Florida State University (FSU) to both impact early literacy and build a process for the successful integration of research and practice. Reach Every Reader has 5 principal work streams: Pre-K Home and Family Engagement, K-3 Screening and Assessment, K-3 Intervention, Collaboration and Reach, and Integration for Scale.

Reporting directly to the Associate Director, the Sr. Project Coordinator is responsible for a wide range of administrative and professional duties in support of Reach Every Reader. Chief responsibilities are related to 1) Communications Management; 2) Administrative and Operations Support; 2) Financial Processing and Payroll Management; and 4) Event Planning and Execution.

The successful candidate will be proactive, detail-oriented, and have strong communication skills. This role requires the ability to work independently with minimal supervision as well as part of a team.

This is a 1-year term position beginning on the date of hire with the potential for renewal

Job-Specific Responsibilities

25% Communications Management

  • Work collaboratively with other initiative staff on the development of a social media strategy and calendar to promote initiative-related priorities and work, and to advance the initiative’s visibility and brand
  • Play a leading role in creating, curating, formatting, and publishing initiative communications via the website and email lists
  • Manage the initiative’s social media accounts; create new social media content, including copy, graphics, and other multimedia assets
  • Ensure appropriateness and accuracy of content across dissemination platforms as well as alignment with initiative values
  • Manage internal and external email lists; respond to inquiries
  • Regularly update the initiative website to reflect current projects, priorities, personnel and news
  • Draft, edit, and process a variety of written material including letters/correspondence, PowerPoint presentations, internal memos, donor reports, bibliographies, and research summaries
  • Produce marketing materials including fliers, invitations, posters, and other materials, as needed
  • Utilize analytics and other measurement tools to assess the impact of the initiative’s communications and social media strategy strategy
  • Ensure initiative website and communications adhere to Harvard and HGSE branding and visual identity guidelines and that all content meets accessibility standards
  • Other duties as assigned

25% Administrative and Operations Support

  • Provide logistical and administrative support, including complex meeting scheduling, room reservations, troubleshooting technical issues, catering orders, ordering supplies, arranging travel, and providing meeting support
  • Organize and maintain files on the initiative’s shared drive
  • Other duties as assigned

25% Finance and Payroll Management

  • Create and maintain a system to track and report on expenses
  • Process invoices and reimbursements
  • Collaborate with HR, Payroll, and the Office of Sponsored Projects to hire students and other temporary workers
  • Help to onboard Research Assistants by providing access to training, requesting relevant account access, technical support, and ensuring IRB and grant compliance
  • Track and approve weekly timesheets and systematically report on temp personnel expenditures
  • Other duties as assigned

25% Event Planning and Execution

  • Schedule and manage logistics for all online and on-campus events
  • Facilitate a collaborative approach to event planning, manage facilitation and role assignments, secure volunteers, and create facilitator guides
  • Provide timely, responsive support to facilitators and event participants, troubleshooting and connecting with other staff as needed
  • Collect event feedback and organize event debriefings to inform future planning efforts
  • Other duties as assigned

Basic Qualifications

  • Minimum of 4 years administrative/coordination experience, including event management
  • Social Media experience

Additional Qualifications and Skills

  • Bachelor’s degree in education or related field preferred
  • Excellent oral and written communication skills
  • Ability to work independently as well as collaboratively across teams and with a variety of projects and stakeholders
  • Strong attention to detail and strong organizational skills
  • Demonstrated ability to meet deadlines and rapidly produce communications assets in a variety of forms
  • Proficiency in using Microsoft Office tools (Word, Excel, Powerpoint), and Google tools (Docs, Sheets, Slides) and Zoom is highly desirable
  • Familiarity with WordPress, Canvas, or another website management platform as well as Salesforce, basic web design, and HTML preferred

Working Conditions

Monday through Friday 35 hours per week

This position will be based in Cambridge. All work must be performed in a state in which Harvard is registered to do business (CA, CT, MA, MD, ME, NH, NY, RI, and VT).
