Director of Faculty Affairs, Walsh School of Foreign Service – Georgetown University

Georgetown's Walsh School of Foreign Service (SFS) – founded in 1919 – is a premier school of international affairs, providing a rigorous education grounded in both theory and practice while instilling the Jesuit value of service.

The Director of Faculty Affairs manages SFS faculty affairs operations, including academic appointments, tenure and promotion, faculty research grants, assessment, and course scheduling and inventor; and serves as an expert resource to the Dean's executive leadership team on the design and management of administrative processes related to faculty. Reporting the SFS Director of HCM Operations and Administration, and working closely with the SFS Faculty Chair, the Vice Dean for Faculty and Graduate Affairs, and the SFS executive leadership team, the Director of Faculty Affairs has duties that include but are not limited to:

Academic Appointment and Process Management

Manages appointments and related transactions for all SFS faculty and visiting researchers:

  • Trains programs on completion and submission of appointment documentation per Provost's guidelines
  • Verifies completeness and accuracy of all appointment materials
  • Obtains requisite Dean's Office signatures on all appointment forms and forwards to the Provost's Office
  • Writes and sends appointment letters for Adjunct faculty
  • Works closely with the Provost's Office on all aspects of appointments
  • Monitors progress of appointments in Provost's Office
  • Collects and organizes materials for visa applications as necessary; works with the Office of Global Services (OGS) to process and monitor progress of application
  • Processes requisite documents related to sabbatical and leave requests
  • Processes additional compensation for faculty
  • Processes visiting researcher and contingent worker appointments

Manages all aspects of SFS faculty records, recruitment, tenure and promotion, merit review, and internal research grants:

  • Manages the faculty search process with the Faculty Chair
  • Vets, processes, and tracks all faculty HR/administrative transactions
  • Establishes and reviews processes
  • Ensures compliance and confidentiality
  • Manages tenure and promotion files, and final submission to the Provost's Office
  • Coordinates with appropriate administrators on HR and payroll matters, and records management
  • Creates and maintains various lists and/or databases of faculty information – for example, expertise, publications, and leave tracking
  • Writes and sends all SFS faculty merit letters, Tenure Line and Non-Tenure Line
  • Oversees faculty research budgets
  • Manages finances and process reimbursements for non-program-based faculty.

Faculty Affairs Administration

  • Advises faculty and administrators on policy and procedure for all faculty affairs operations; and provides training as necessary
  • Regularly reviews all faculty affairs policies and procedures, and recommends and determines changes in concert with the Vice Dean for Faculty and Graduate Affairs and the Faculty Chair
  • Develops faculty communications strategy in concert with Vice Dean for Faculty and Graduate Affairs and Faculty Chair
  • Works with Director of Communications to develop and publish informational guides in various media, provides faculty information to news media, maintains content of faculty information on SFS website, and serves as point person on faculty GMS information
  • Handles faculty inquiries and refers to other resources as appropriate
  • Works with the Provost's Office to communicate policy changes and provide input, as needed and required
  • Manages events as needed for the Faculty Chair, including Faculty Council monthly meetings, promotion and tenure meetings, and meetings to discuss and vote on faculty searches
  • Provides additional support for special projects at the direction of the Vice Dean for Faculty and Graduate Affairs and Faculty Chair
  • Works closely with the SFS executive leadership team, faculty, and administrators to manage collection of data on academic programs and prepare reports for various audiences
  • Serves as Department Financial Manager for Sponsored Project in GMS; and ensures compliance for faculty grants.

Course Scheduling and Inventory

Administers the biannual course scheduling process for a variety of SFS programs.

  • Works with programs to establish and administer course submission procedures
  • Enters course material submissions in the course scheduling system
  • Requests classroom changes with Registrar's Office
  • Negotiates cross-listing of courses with other GU departments

Qualifications

  • Bachelor's degree
  • At least 4 years of managing faculty affairs or related operations in higher education
  • Proficiency in technologies related to faculty operations at Georgetown University and the School of Foreign Service
  • Demonstrated ability to exercise discretion in the oversight of complex and sensitive HR-related transactions.
  • Commitment to exceptional customer service
