Job Description:

Amherst College invites applications for the Admission Operations & Data Manager. The Admission Operations & Data Manager is a full-time, year-round position, job group and level AO-5. This is an on campus position with the possibility of some hybrid/remote work as determined by the department.

The Admission Operations & Data Manager serves as a primary member of the Admission Operations Team and supports a range of mission-critical programs and initiatives. The Manager is responsible for various aspects of student/organizational record management and application verification such as data entry and receipt of application materials. Additionally, the Manager is the lead operations member responsible for the annual admission-cycle calendar and coordinating aspects of application-related communications to applicants. The Manager supervises members of the Admission Operations Team who work closely with student record management and other administrative duties. In addition, the position provides administrative support, as needed, for high-priority initiatives across the division.

Summary of Duties and Responsibilities

Database Record Management

  • Assist in leading the annual import and verification process for over 14,000 applications for the Office of Admission’s first-year, transfer, and other admission-sponsored visitor/student exchange programs
  • Coordinate the receipt of student application materials received by mail, email and fax, and ensure that materials are added to student records accurately and timely
  • Oversee and ensure accuracy of data entry and student/organizational record creation by operations staff and student workers
  • Co-develop and update operations staff and student training related to data entry and application verification
  • Serve as a member of the division-wide systems team and assist in operationalizing student record-related policies and procedures in Slate
  • Create and run admission-related queries and reports for quality control measures

Application Cycle Management

  • Serve as operations lead in the development of annual admission cycle calendar and assist in the coordination of aspects of application cycle-related communications to applicants (e.g., missing materials, decision release notification)
  • Release individual applicant decisions such as those related to application withdrawals and the admission office waitlist
  • In conjunction with the systems team, assist in the matriculation process for enrolling students, including coordinating receipt of final admission application materials and preparing application materials for the Office of Student Affairs
  • Explore opportunities for continuous improvement in office systems to improve productivity and accuracy in the coordination of application materials and admission-related inquiries from students and external organizations (e.g., high school officials, colleges/universities, CBOs)

Administrative Support

  • In coordination with the diversity outreach and transfer/military-connected outreach teams, assist with prospective student on-campus programming (e.g., Access to Amherst, Be A Mammoth, Community College Transfer Open House)
  • Assist admission deans with initiatives critical to the mission of the office
  • Provide support to visitor relations for admission account email and phone lines during visitor relations staff vacations/vacancies
  • Occasional weekend work may be required

Supervisory Responsibilities

  • Supervise and evaluate the work of direct reports including distributing daily tasks, maintaining job descriptions, managing vacation scheduling/weekly staff payroll, monitoring work performance/goal setting through bi-annual college-wide performance management process, and actively working towards an intentionally inclusive culture for all members of the team.
  • Coordinate and oversee professional development programs for operations staff
  • With the visitor relations team, participate in admission office student worker hiring, training, evaluation, and scheduling


  • Bachelor’s Degree or in lieu of a degree, 7 or more years of experience with progressively challenging roles and responsibilities.
  • 5 or more years of proven experience in a fast-paced office environment
  • Solid understanding of technology including familiarity with databases such as CRM software, Google Workspace/Microsoft Office, and remote work tools such as Zoom
  • Excellent ability to work collaboratively including experience in leading and managing teams
  • Resourceful at problem-solving, analytical thinking, and troubleshooting
  • Ability to work independently and with superb attention to detail
  • Exceptional interpersonal skills
  • Demonstrated organizational and time management skills including the ability to prioritize multiple, concurrent tasks with demanding timelines
  • Excellent customer service and communication skills (both verbal and written)
  • Ability to handle confidential information with respect and discretion
  • Experience working with or demonstrated commitment to working with a diverse community


  • Familiarity with Workday and/or the Admission CRM Slate
  • Experience supervising professional staff, volunteers, and/or student workers
