Primary Position Function/Summary:

The Coordinator of Student Engagement will serve as a member of the Student Engagement team with primary responsibilities in the Student Organization Development & Administration (SODA) Unit specific to event planning and risk prevention. The Coordinator will assist in supporting more than 800 registered student organizations through org administration, programs, and services to enhance the student organization experience. The Coordinator will support student organizations in achieving their mission and goals through action and facilitate student organization officer and membership development. This position will report to the Senior Associate Director for Student Engagement.

Major Duties and Responsibilities:

Student Organization Administration (45%)

  • Coordinate student org event registration process in collaboration with campus facility managers. Event submissions require a thorough review of information provided. Critical assessment of each event and the level of potential risk is required when reviewing proposed events to ensure activities are in alignment with University policies and procedures and local, state, and federal laws.
  • Assist with the annual re-registration of student organizations including an independent objective review of each submission to ensure adherence to department and University policies and procedures and local, state, and federal laws as applicable.
  • Assist with the new student organization and reactivation of student organization process from initial interest of a student wanting to form/reactivate and develop a student organization to a completed registration. A critical responsibility, support for the formation and development of new or reactivated student organizations should drive membership and organizational retention.
  • Assist with the planning and implementation of the annual Quad Day and involvement fairs.
  • Coordinate the management of the email inbox.

Student Organization Development & Advising (45%)

  • Coordinate risk prevention/mitigation initiatives for student organizations. This will include researching best practices, creating models for success based on University guidance, and developing robust training for student org leaders. The Coordinator will advise student orgs on the mitigation of risk through proactive measures where students are empowered to make well-informed decisions for the safety and wellbeing of all.
  • Assist with the development and facilitation of required and optional workshops including but not limited to the Presidents Workshop, Treasurers Workshop, and New Student Org Orientation. Workshop facilitation will involve educating and ensure compliance of policies related to registered organization operations and processes for both students and advisors.
  • Assist with the advisement and development of student organizations via regular meetings with student leaders, organization advisors, and key stakeholders. This includes building relationships with student officers, assisting student leaders to develop and monitor budgets, as well as planning and executing events and programs.
  • Assist in the design, implementation and delivery of program evaluations and assessment of student learning outcomes.
  • Serve as the advisor to assigned organizations to provide training and guidance on organizational development, fiscal management, and campus policies.
  • Serve as a hearing officer or investigator as part of the U-C Senate Committee on Student Conduct, student organization conduct process.

Department Administration (10%)

  • Serve as a member on one of the Student Engagement Teams: Marketing & Branding or Programs & Outreach.
  • Assist with the advisement of Illinois Student Government.
  • Serve as an advisor to a student council or committee as needed.
  • Collaborate with campus partners and represent the department when requested including serving on campus committees.
  • Perform other duties as assigned to advance the unit, department, and division.

Position Requirements and Qualifications:


Required: Bachelor’s degree.

Preferred: Master’s degree, preferably in higher education administration, college student personnel, counseling, or related field.


Required: One year of experience in student activities/development/leadership.

Preferred: Knowledge and experience with coordinating student organization risk prevention initiatives. Ability to interpret policy, to exercise keen judgement, and to adapt to changing conditions successfully. Knowledge of student organization/engagement management software. Ability to engage in program evaluation and outcomes assessment.

Knowledge, Skills, and Abilities:

  • Demonstrated knowledge of current needs, trends, and issues in the area of higher education, student affairs and/or student engagement.
  • Demonstrated knowledge of student development and group dynamics/principles.
  • Ability to work with diverse people and understand issues on diversity and inclusion.
  • Demonstrated student organization and/or student success advising.
  • Ability to provide programmatic oversight and leadership.
  • Demonstrated ability to develop, implement, and asses new and existing programs and services.
  • Excellent communication skills and ability to prepare and deliver presentations.
  • Ability to incorporate student learning and development philosophy into program delivery.
  • Strong organizational and problem analysis skills.

Salary and Appointment Information

This is a full-time Civil Service Program Coordinator position appointed on a 12-month service basis. The expected start date is as soon as possible after the close of the search. Salary range is $42,000-$45,000.
