Reporting to the Chief of Operations, manages streamlined in person, virtual, and hybrid event process serving a broad range of customers from around the University. This role is a key member of the Operations Leadership Team.

Job-Specific Responsibilities

  • Represents HGSE on HU Event Management Working Groups.
  • Ensures consistently high quality service, food, and accommodations for customers.
  • Advises customers on function planning and logistics.
  • Codifies school policies around physical and virtual space use by internal and external entities (including rules, fees, catering, alcohol usage and processes).
  • Responsible for ensuring compliance of all events with the HU Minors Policy.
  • Manage a universal calendar that provides visibility for stakeholders to ensure that events don’t compete for constituents and that organizes content in an useful way for end users / allows for school level data collection and reporting.
  • Serves as co-chair of SACAD (Staff Advisory Council to the Administrative Dean) and on other School-wide committees as appropriate. Oversees the suite of event management software (EMS – Event Management System, 7S, Salesforce Event Integration, Cvent, and Social Tables) and ensure that school moves toward the most streamlined and efficient system.
  • Develop quarterly event management reports and advise leadership on possible corrective action to ensure that the team and the school track toward the strategic vision.
  • Liaison with other HU schools and private entities in the area to support the school’s off campus event needs.
  • Manage negotiations and develop contracts as necessary to ensure the schools outside needs are met in the most beneficial way with minimal risk.
  • Manages the HGSE GreenTeam, develops sustainable initiatives and programs for the school and works closely with colleagues in Operations (Facilities and Construction and Planning) and the Green Team to carry them out.
  • Establishes and manages to revenue targets and expenses to ensure that the budget is balanced. Manages a team of 30+ HGSE and contracted staff.
  • Manages facilities projects as they relate to servicing internal clientele’s space, event and dining needs.
  • Works to continually improve process and policy concerning the campus wide operational support model.
  • Manages event support service contracts (Food Service and Custodial).
  • Manages Custodial Program to successfully complete day-to-day duties to keep campus clean, disinfected, and the spaces appropriately setup.
  • Directs Food Service management to continually improve process and successfully provide day-to-day café and event catering service to the community.
  • Interacts with Security management to successfully complete day-to-day event support duties in accordance with campus security requirements.
  • Oversees the management of the Education Innovation Studio (EIS); maker space on campus to ensure that the studio effectively supports the making needs of the teaching and learning curriculum. Works on special and additional projects as needed.
  • Manages $2.3M Events budget, including Cleaning ($1.4M) and Food Service Vendor Contracts ($3.5M Revenue – Managed as breakeven program)
  • Build and retain a diverse team, providing exceptional leadership and effective supervision of the Operations team
  • Model inclusive leadership in team meetings, hiring actions, performance management, opportunities for growth and mentorship
  • Through the supervision of team members, oversee the carrying out of administrative and operational activities related to Operations
  • Serve as a resource to all direct reports, stepping in as needed to provide additional support and/or coverage

Basic Qualifications

  • BA
  • Min. 5 years’ related conference/facility/special events management experience
  • Previous experience managing staff, strategic planning and marketing skills and experience
  • Financial management and budget generation and management experience
  • Proficiency with a variety of software packages including MSO, or similar, database software, and web-based software
  • Ability to lift/move at least 75 lb. equipment required (lifting involves setting up and breaking down of tables, etc.)
  • Availability to work evenings/weekends as needed
