Job-Specific Responsibilities
Reporting to the Assistant Dean for Learning and Teaching, the Harvard Graduate School of Education (HGSE) Administrative Director of Faculty Support Services is responsible for supervising approximately 20 faculty assistants, facilitating administrative, course, and financial supports to faculty, and managing a variety of departmental administrative and financial responsibilities. This position requires strong interpersonal and managerial skills. It also requires an understanding of the importance of culture including how to nurture an environment that is developmental, supportive, detail-oriented, and customer-service focused. The Administrative Director leads by example, introduces best practices, advocates for team members, creates and manages project streams, and develops processes that enhance individual and collaborative workflows. The Administrative Director encourages diversity in all its aspects, maintains an environment that is inclusive and equitable, and skillfully manages interpersonal dynamics during individual and group interactions.

Duties and Responsibilities:

  • Manages a team of approximately 20 Faculty Assistants/Coordinators.
  • Builds and retains a diverse team, providing exceptional leadership and effective supervision of the Faculty Assistant team.
  • Supports the training, mentoring, and professional development of Faculty Assistants.
  • Assigns faculty assistants to faculty.
  • Develops relationships with faculty on faculty needs and expectations.
  • Develops and aligns department goals with school goals and expectations.
  • Identifies new skills, process improvements, and best practices that Faculty Assistants need to perform their work successfully.
  • Manages and assigns projects to the Faculty Assistant Leadership Team (group of approximately four Coordinators).
  • Collaborates and fosters collegial relationships with other departments and schools at Harvard.
  • Facilitates monthly staff meetings.
  • Delegates tasks and overseeing daily operations.
  • Oversees and ensure quality of course preparation by Faculty Assistants
  • Coordinates course learning platform (Canvas) Faculty Assistant responsibilities.
  • Works with Digital Librarian on best practices for Library Reserve materials and workflows.
  • Manages department budget.
  • Orders supplies as needed for the department.
  • Oversees Purchase Card transactions.
  • Collaborates with the Finance Office on ways to streamline processes and maintain budget levels of special funds.
  • Collaborates with the Faculty Support Administrators Network (Harvard-wide) monthly.
  • Moderates and nurtures relationships between faculty and Faculty Assistants to ensure best fit for each.
  • Models inclusive leadership in team meetings, hiring and promotion actions, performance management, opportunities for growth, and mentorship.
  • Through the supervision of team members, oversee the carrying out of all administrative and operational activities.
  • Serves as a resource to all direct reports, stepping in as needed to provide additional support and/or coverage.

Typical Core Duties

  • Responsible for effective staff management, including hiring and orientation, training and development, workflow and performance management, and the promotion of an inclusive and innovative work environment
  • Lead course development which may include recommendation and implementation of course sequencing, scheduling, grading processes and exam sessions
  • Act as an advising resource for faculty and other academics regarding educational strategies and formats
  • Lead curriculum development which may include developing new courses and assessing curricular offerings
  • Establish and monitor administrative systems and lead the implementation of process redesigns
  • Develop specialized reports to analyze statistics pertaining to course development, teaching effort and student progress
  • May lead administrative management for faculty and other academics including recruitment, appointment and development
  • May provide ongoing training and documentation
  • May manage departmental budget
  • May act as representative at the department or school level
  • Ensure compliance with University policies and procedures and applicable legal rules and regulations

Basic Qualifications

  • Bachelor’s degree or equivalent work experience required
  • Minimum of 7 years’ relevant work experience

Additional Qualifications and Skills

  • Supervisory experience strongly preferred
  • Master’s degree in relevant field preferred
  • Strong skills in leading collaborative and diverse teams in an academic setting
  • Knowledge of Microsoft Office Suite, advanced Excel skills
  • Strong written and verbal communication skills

Physical Requirements

  • Sitting using near vision use for reading and computer use for extended periods of time
  • Lifting (approximately 20 to 30 pounds), bending, and other physical exertion
