Portland State University — Assistant Director of Undergraduate Admissions

The Assistant Director supports the development and implementation of innovative recruitment strategies and effective programs and policies to ensure Portland State University meets enrollment goals. 

The Assistant Director works extensively with key constituencies on and off campus to optimize recruitment and enrollment practices. This position will have specific assignments related to student admission needs and outreach, collaboration with high school and community college personnel, as well as university partnerships. The Assistant Director leads and supervises a talented staff responsible for attracting and enrolling students from assigned recruitment territories. 

The Assistant Director will represent the University and its academic programs and services to prospective students and their families, college personnel, partner institutions and advisers, and the general public. This position requires evening and weekend work, and will include overnight travel. Availability to work weekends when needed is required. The Assistant Director must have strong written and oral communication skills. The ability to work with students from diverse backgrounds, and with varying levels of exposure to higher education, is required.

Primary Job Duties:

Recruitment and Outreach, 50% of your time 

  • Coordinate and conduct 8 – 10 weeks of annual recruitment travel within assigned territories while developing and maintaining relationships with assigned student territories. 
  • Develop travel plans that attract prospective students and cultivate relationships with key constituents. 
  • Manage, oversee and assign territories for admissions counselors. 
  • Utilize regional, national, and PSU historical data trends to oversee and implement recruitment strategies for assigned territories.
  • Abide by department travel policy when planning and coordinating travel in- and out-of-state. 
  • Conduct recruitment visits to high schools, community colleges, community organizations, and other recruitment venues; participate in Oregon Public University tours. 
  • Plan, coordinate, and lead recruitment events such as Admitted Student Receptions, Instant Viking, Counselor Breakfasts, and others as assigned following established budgetary guidelines. 
  • Recommend territory assignments for admissions counselors based on staff strengths and experience. 
  • Lead information sessions during weekly campus visit programs. 
  • Develop and maintain cooperative relationships with high school counselors, community college advisors and partners, community organizations and other key influencers. 
  • Analyze results of recruitment strategies, activities, and prepare reports and/or contribute to departmental reports as required and recommend new strategies. 

Management and Supervision, 25% of Your Time 

  • Hire, onboard and manage full time and wage agreement admissions staff to achieve university enrollment goals. 
  • Assist with the recruitment, selection, and placement of Admissions staff members. 
  • Supervise regional admission counselors for the undergraduate office of admissions. 
  • Implement recruitment strategies for, and evaluate effectiveness of, regional counselor efforts in relation to their travel and location. 
  • Advise the office on location and need of regional counselor positions based on regional, national, and historical PSU trend data. 
  • Establish and communicate performance goals and expectations for Admissions Counselors. 
  • Develop staff through the delivery of regular training and professional development. 
  • Work closely with members of the Admissions team to create a supportive, inclusive, and collaborative team environment where communication, trust, and accountability are expected. 
  • Hire, onboard, and supervise student staff. 

Administrative and Programmatic Support, 25% of Your Time 

  • Advise students and key influencers on admission and financial aid standardized processes based on established university guidelines. 
  • Correspond with prospective students in a timely manner, record all interactions in CRM. 
  • Collect, maintain and record all in-person student interactions in CRM. 
  • Participate in, and assign counselors to, admission or university events and programs as needed. 
  • Participate in the holistic review process to ensure enrollment of students who have the ability to succeed at the university. 
  • Inform students regarding admissions information, transcripts, and other official documents, as well as basic academic requirements and transfer of credit. 
  • Provide pre-advising on university requirements, AP/IB/CLEP, degree requirements, student support services, honors, residency. 
  • Liaise with academic and/or administrative units to ensure optimal effectiveness throughout the recruitment and enrollment experience. 
  • Collaborate with, and support the efforts of, campus partners who assist with university enrollment goals. 
  • Collaborate with marketing and communications to develop web and print content that informs and attracts applicants. 
  • Assist in the development and implementation of recruitment strategies and initiatives geared toward increasing student enrollment at Portland State University. 
  • Plan and develop professional development opportunities for admissions staff, and recommend programs and activities that help increase productivity. 
  • Other duties as assigned. 

Minimum Qualifications 

  • Bachelor’s degree and four years of related experience in admissions, recruitment, student advising, or closely related fields. 
  • Demonstrated experience in the management, supervision and professional development of student or full-time professional staff. 
  • Excellent written and oral communication skills, strong interpersonal presentation, and organizational skills. 
  • Energetic approach and friendly, customer-service orientation. 
  • Demonstrated computer skills including proficiency using the Microsoft Office Suite, Ellucian Banner (or equivalent). 
  • Demonstrated ability to interact cooperatively and sensitively with individuals from other cultures, ethnic groups, lifestyles and backgrounds. 
  • Ability to critically and logically analyze, synthesize, interpret and extrapolate admission data, regulations, policies, procedures, and protocols. 
  • Ability to effectively manage multiple priorities, pay attention to detail and produce desired results.

Special Working Conditions: Applicants must have availability for weekend and evening work as well as extended overnight travel, the position requires the employee to drive a motor vehicle, and the position requires a background check. 

Benefits and Salary Range: $48,400 – $55,368
