Departmental Overview

As a central service center for the entire campus, the Graduate Division works to guide and assist students from the moment of admission, through the various milestones of their progress, to the completion of their degree requirements. We provide academic, personal, and professional support services that are vital to the everyday well-being and life-long successes of Berkeley master's, professional, and doctoral students.

As the authoritative resource and chief advocate for graduate education, the Graduate Division ensures the equitable administration of policies governing graduate studies across Berkeley's seventeen schools and colleges. As the administrative arm of the Academic Senate's Graduate Council, we partner with the faculty and staff of each program and the deans of each school and college to maintain the world-renowned quality of Berkeley's graduate education.

By fulfilling those responsibilities, the Graduate Division acts as a steward for the generosity of supporters of graduate education at Berkeley.

The Chief of Staff & Assistant Dean for Diversity (CoS & Asst. Dean) serves as a senior advisor and operations manager for the Vice Provost for Graduate Studies and Dean of the Graduate Division (VP-GS), working closely with her across the range of her responsibilities managing Graduate Division operations and representing her on a variety of matters. The CoS & Asst. Dean serves as senior advisor on specific priorities such as graduate diversity, campus climate, professional development, and overall support for the graduate student community. They interface with a broad range of offices to support the VP-GS' activities, managing sensitive and confidential matters and developing solutions on a wide range of issues on her behalf. They are also responsible for leading diversity efforts for graduate studies across campus, providing training and support to departments and other academic units, working closely with Equity and Inclusion to sustain synergies with their work, and providing the vision for creating a more diverse graduate student population and more inclusive campus climate for graduate study.

The VP-GS works in very close partnership with the campus administrative leadership, Deans, and Academic Senate. The CoS & Asst. Dean directly supports the VP-GS to advance the institution's priorities, anticipating emerging issues, keeping the VP-GS and her senior administration well-informed, and developing creative options to resolve complex problems. They provide oversight of the various Graduate Division functions to ensure the division is highly professional, proactive, and responsive to all stakeholders. 

The CoS & Asst. Dean directs the Office of Graduate Diversity (OGD), a program designed to support the outreach to, recruitment, admission, academic success, and graduation of students who will enrich the diversity of graduate programs at the University of California, Berkeley. The ultimate goal of the Office of Graduate Diversity Program is to increase campus graduate student diversity, through recruitment, academic and social support, admission advising, creation and support of communities and networks, creation of mentoring opportunities, and develops methods to support undergraduate programs prepare diverse students for graduate school, and provide campus leadership on graduate student diversity.

The CoS & Asst. Dean also manages all communications staff within the Graduate Division. Their role is to manage both internal and external communications, ensuring that the Division's public narrative, is consistent, compelling, and reflects the inclusive climate we are working to build within graduate education at Berkeley.


Executive Advising

Provides timely and appropriate executive advising and support for the VP-GS across the range of her responsibilities including:

  • Interact with senior leadership on advancing the VP-GS' goals and objectives.
  • Provide leadership and mentoring in creating an atmosphere of excellence and teamwork among all staff within the Graduate Division, as well as with staff in other campus units.
  • Triage issues on VP-GS behalf, negotiating solutions to complex problems, and handling confidential and sensitive issues. 
  • Provide VP-GS with timely and balanced views of current and emerging issues/problems and suggest options for dealing with them.
  • Coordinate meetings and briefings with campus stakeholders and the VP-GS, participating as appropriate, and managing follow-up.
  • Oversee a strategic calendering process, in close collaboration with the VP-GS' executive assistant, to ensure sufficient attention is directed to key strategic priorities and key constituencies, both within and outside the university.
  • Ensure that the VP-GS is well informed and briefed in advance of their meetings and other engagements.
  • Develop and/or review items for the VP-GS' signature; formulating recommendations and presenting options, and drafting responses.
  • Represent the VP-GS in campus meetings, on standing and ad-hoc committees, and in external meetings as needed.

Lead and Manage the Office of Graduate Diversity

  • Manage staff members within the Office of Graduate Diversity (OGD), which includes the American Indian Graduate Program (AIGP)
  • In cooperation with OGD/AIGP staff, develop and lead the implementation of a strategic plan for campus graduate diversity that includes concrete metrics, benchmarks, and evaluation systems.
    • Such a plan will include targets for admissions, retention, and graduation rates as well as plans for improving campus climate and sustaining graduate student well-being.

Manage the Communications Team

Work with the Director of Communications to oversee the Graduate Division's communications and social media strategies. The day to day management of the communications team will be the responsibility of the Director of Communications.

  • Ensure that Graduate Division communications are consistent, inclusive, and culturally competent.

Coordinate Development Efforts

Work with the Development Director to coordinate development efforts across the Graduate Division, the Office of Graduate Diversity, and the Division of Equity and Inclusion to ensure these efforts are carried out as effectively as possible.

  • Ensure development materials are consistent, inclusive, and culturally competent.
  • Ensure fundraising efforts are aligned with the Division's strategic priorities.

Required Qualifications

  • Advanced written, verbal and presentation skills for influencing and facilitating sustained change.
  • Strong management abilities to develop and evaluate staff and teams. 
  • Thorough knowledge of the organizational environment of higher education to understand client priorities, issues, motivations and constraints.
  • Knowledge of comparable campus processes, protocols and procedures. 
  • Knowledge of the legal constraints and opportunities for diversity efforts in higher education through Federal programs and regulations.
  • General knowledge of financial analysis and reporting techniques; human resources and risk management planning; accounting and payroll.
  • Bachelor's degree and/or significant leadership and management experience in large complex institutional environments, including significant experience both at leading an institutional function and at working with the top leadership of institutions. 

Preferred Qualifications

  • Advance degree preferred.
  • Knowledge of legal constraints and opportunities for diversity efforts in the State of California.
  • Knowledge of organizational environment and needs of large research universities. 
  • Experience leading efforts, projects, and/or programs advancing diversity and/or student success.
