Vanderbilt University — Program Coordinator

The Program Coordinator is part of the Office of the Provost at Vanderbilt University and is a key individual contributor responsible for the administration of several provost area funding programs. This position coordinates funding programs from the proposal/nomination stage, to committee review, to funding, to tracking and reporting. Reporting directly to the Program and Project Manager, the Program Coordinator will engage regularly with faculty, staff and campus partners to achieve programmatic goals and objectives.

The Program Coordinator will administer the proposal process for a number of provost funding programs – moving through funding program development to award execution. The position will track and maintain program data and a faculty award funding database. The Program Coordinator will maintain accurate records and regularly review program materials, updating as needed.

The Office of Academic Administration and Operations manages a select set of Vanderbilt’s internally-funded faculty award programs and other strategic initiatives. The office also develops and supports implementation of standard operating procedures across the Provost team and provides shared resources to the Provost team including administrative and financial support, project and event management support, and communications services and coordination.

Duties and Responsibilities

  • In collaboration with the Program and Project Manager and other Provost Team members, provide administration and coordination of select provost funding programs.
  • Coordinate committee review processes for provost office funding programs.
  • Provide professional and/or technical support in the execution of the day-to-day program activities.
  • Develop detailed program administration timelines and track progress.
  • Maintain funding program metrics including the faculty award funding database.
  • Maintain and update all communications materials related to funding programs.
  • Conduct analyses and provide updates and reports as necessary.
  • In coordination with the Program Manager and Provost Finance, assist with award finance tracking.
  • Other duties as assigned.

Profile of an Ideal Candidate

  • A Bachelor’s degree from an accredited institution of higher education is necessary.
  • A Master’s degree from an accredited institution of higher education is preferred.
  • A minimum of 2 years of relevant experience is necessary. (Experience gained through assistantships, practicums etc. while obtaining an advanced degree may be considered.)
  • Time management skills and ability to multi-task and prioritize in order to meet project deadlines are necessary.
  • Self-motivated with a positive and professional approach is necessary.
  • Exceptional interpersonal skills with the ability to interact with individuals across the university is necessary.
  • Organizing and coordinating skills necessary.
  • Proficiency in office software tools (e.g., Microsoft Excel, Word, PowerPoint), and other software tools for communication, analysis and office operations is strongly preferred.
  • Knowledge of the Vanderbilt financial systems is preferred.
