Carnegie Mellon University — Academic Services Coordinator, Electrical and Computer Engineering

The Department of Electrical and Computer Engineering (ECE) at Carnegie Mellon University (CMU) has an immediate opening for an Academic Services Coordinator on the Pittsburgh campus. The ECE department, part of the College of Engineering, is an inclusive and diverse academic community with approximately 1,400 individuals (faculty, staff and students) and includes global research and teaching efforts through extensions of our Pittsburgh academic programs and research in Silicon Valley, Portugal, Africa, Thailand and Singapore.

In this role you will report to the Director of Student and Academic Affairs and will serve as an integral member of the Academic Services Center team. You will provide complex administrative and programmatic support to several key academic areas and processes. The ECE Academic Services Center is a fast-paced center serving one of the largest departments at CMU. YOU are a highly motivated, self-starter, who is reliable and excels at multi-tasking. Responsibilities would include:

1. Course support:

  • Provide assistance with course material preparation, collection, distribution and archives.
  • Monitor and respond to faculty requests through a customer response management system.
  • Set-up and maintain course information in Canvas, the University’s course management system; manage course material archives and disposal processes according to University policies; post new course information and cancellation announcements.
  • Enter grades and process late add and change of grade forms.
  • Order textbooks for faculty and teaching assistants and coordinate textbook availability for students via the University bookstore.
  • Plan and coordinate end of semester class poster sessions and project demonstrations.
  • Coordinate student accommodations requests with the University’s student services group.
  • Process course related purchases.
  • Greet and engage with visitors in the Center.
  • Work closely with counterparts in other departments and other campus constituents to ensure a smooth operation for course management.

2. Teaching Assistant (TA) training program:

  • Schedule training presenters, track student participation, reserve learning space, and order refreshments.

3. Course archives:

  • Archive copies of exams, handouts, lecture notes, homework assignments and other relevant course materials; record and track status of archived materials in an Excel spreadsheet.

4. Other duties:

  • Coordinate the Academic Services work study student program; these students provide supplemental support to the team throughout the year and during peak periods.
  • Participate in the planning and implementation of student activities and events including the ECE Diploma Ceremony; attendance at the annual department commencement ceremony is a requirement of this position. Commencement usually occurs the third Sunday in May.
  • Participate in department, college and other university level activities and committees that promote networking, collaboration and community.


  • Associates degree or equivalent combination of training and experience preferred
  • 5+ years of related experience with office administration and customer service processes or applications
  • Experience working across teams and supporting multiple functions and people
  • Proven working knowledge of office processes, and student/academic management systems and procedures preferred
  • Excellent interpersonal, analytical, organizational, reasoning and problem solving skills
  • Ability interact effectively with a diverse faculty, staff and student body
  • Excellent verbal and written communication skills
  • Strong knowledge of MS Office applications (Word, Excel, Power Point, and Outlook)
  • Proven ability to work effectively on a team that cultivates a versatile and collaborative professional environment.
