Harvard University — Admissions and Recruitment Coordinator [Coordinator II (FSS)]

Duties & Responsibilities
The Admissions and Recruitment Coordinator will act in support of the efforts of the Admissions Office to attract and serve qualified admission candidates. The position will play a key administrative role in office operations, the processing of admission applications, event planning and will actively support the work of the admissions committees. The successful candidate will possess the ability to multi-task, think critically about office operations, and synthesize information in order to make recommendations for improvements to office operations and recruitment strategies. Strong management skills are necessary as there is a great deal of coordination with volunteers (students and alumni) and others individuals who are involved in the planning and executing of events.

Admissions Application Processing
Responsible for working closely with Assistant Director of Admissions to assist applicants (both to Master’s programs and Public Policy and Leadership Program – PPLC) with the completion of the admission application and make recommendations for system changes/updates, including:

  • Process submitted applications to forward for Admissions Committee/PPLC Committee review.
  • Monitor incoming emails regarding application status, save and add documents to application system, file/organize ground mail appropriately throughout the year and make recommendations for communication updates/strategies.
  • Set up queries in Admissions system and propose plans to proactively work with candidates to ensure materials are submitted on time for review.
  • Process incoming mail and generate mailings.
  • Update admission files with official documents for transfer to Registrar’s Office.
  • Maintain and update new admit website/portal.

Recruitment Travel Management
Manage the planning/coordination of annual national and international recruitment trips, including researching new opportunities to target prospective applicants. Events include information sessions held at universities, hotels, college and university graduate school fairs, receptions in the U.S. and abroad, and conferences. Responsibilities include:

  • Event scheduling/logistics, both before and after events (tracking of attendees, mailing of materials, updating website).
  • Reporting on events and attendance to make recommendations on future strategy.
  • Working with Communications Office on promotional materials.
  • Trip logistics including making flight, hotel and/or car reservations.
  • Track and report trip data and make recommendations for future outreach.
  • Manage recruitment calendar.
  • Manage New Admit yield receptions in select cities. Research hotels, negotiate with caterers and plan menus, invite alumni. Work with alumni when necessary to plan receptions that staff cannot attend.
  • Set up event surveys following events to determine success and make recommendations for possible changes in the future.
  • Work closely with alumni and students on planning of events as well as participation when applicable.

Event Management: Open Houses, New Admit Day, Yield Events
Point person for planning annual open houses and new admit day events. Responsibilities include:

  • Logistics planning – including room reservations, materials preparation, event scheduling, food ordering.
  • Recruiting and managing volunteers.
  • Working with faculty on class visits/presentations.
  • Compose emails and manage communications regarding events- before and after, including the management of surveys.
  • Track historical data and update reports pertaining to on and off campus recruitment events.
  • Coordinate ad hoc on-campus recruitment events for admissions.

Office Management and Operations

  • Oversee supply of HKS recruitment materials including brochures, reply cards and pens.
  • Hire and manage undergraduate work-study student.
  • Create/update reports for data tracking and strategy development.
  • Enter/complete required paperwork for travel reimbursement information for staff who travel on behalf of the school.
  • Enter/complete required paperwork for travel reimbursement information for newly admitted students that attend yield events.
  • Update website/social media channels as needed.

Customer Service

  • Answer questions via phone and email from prospective students and make recommendations for Admissions Blog, changes to website, and updates to promotional materials.
  • Meet with prospective students to answer questions about HKS and its degree programs and lead information sessions.
  • Draft communications and make recommendations for Admissions Blog content, including working with students, alumni, staff, and faculty for content creation.
  • Serve in back-up role at front desk in Enrollment Services Suite.


  • Co-responsibility for managing main admissions email account.
  • Assist in updating website.
  • Collaborate on social media outreach and messaging.
  • Occasional recruitment travel.

Basic Qualifications
Minimum of 3 years of related administrative work experience including a minimum of two years in a customer service role.

Additional Qualifications

  • Bachelor’s degree strongly preferred.
  • Experience working in a high volume customer service role.
  • The successful candidate will have proven time management skills, strong interpersonal skills, must have excellent attention to detail, be able to act collaboratively, and ability to act discreetly.
  • Strong writing skills and demonstrated experience with public speaking.
  • Computer/Software: Experience with Microsoft Office suite, social media platforms, and Technolutions software platform beneficial but not required.
