Department Summary:
The Master of Public Administration Program at Bridgewater State University provides rigorous graduate public education, developing core competencies in leadership and service in the public and nonprofit sectors. The mission of the Master of Arts program in Psychology is to prepare students to become mental health professionals, clinically skilled, and able to contribute to our diverse society. Trained to conduct psychotherapy in a range of contexts, students’ education is grounded in a framework of professional ethics and personal responsibility. The faculty seek to provide a high quality and rigorous academic experience that facilitates the development of clinical skills through intensive engagement and experiential learning of both theory and techniques.

Position Summary:
The primary duty of the Staff Assistant is to support the Masters in Clinical Psychology and Masters of Public Administration Programs, with 50% effort in each program. This position will report to both the Psychology DGCE Chair / Graduate Program Coordinator (GPC) and the Masters of Public Administration Program DGCE Chair / Graduate Program Coordinator.

Essential Duties:
• Manage various online and paperwork systems, including assisting graduate students with completing necessary submissions required for program completion (e.g., fieldwork approval forms, registration forms, course substitution forms, Comprehensive Exam requests, and graduation applications).
• Assist the DGCE Chair with scheduling of the graduate courses. Coordinate administrative tasks pertaining to admissions to Graduate Program from fielding new inquiries, to providing information to potential applicants, as well as scheduling interviews during the admissions cycle.
• Assist Psychology’s DGCE Chair and Graduate Fieldwork Coordinator with all activities regarding students’ securing and completing fieldwork placements, as well as developing and maintaining ongoing relationships with off-site supervisors. Maintain field education-related documentation as appropriate to each program.
• Maintain all necessary state and program documents for students in the clinical psychology graduate program pertaining to fieldwork, evaluations, and post-graduation licensure applications.
• Schedule the graduate comprehensive examination each semester.
• Ensure efficient operation of the program’s daily office functions: answering student questions, updating/scheduling appointments, addressing the needs of faculty members, maintaining orderliness of department (e.g., updating bulletin boards).
• Provide friendly knowledgeable support to all faculty/staff, graduate researchers, and students involved with the programs.
• Design and implement systems to collect, organize and analyze data throughout the academic year for the annual report due to NASPAA, as well as periodic reports to MPCAC and annual reports to BSU/CoGS.
• Conduct regular student audits to identify and track conditionally admitted and academically at-risk students
• Document student tracking (as assessed by Chair or academic advisors’ auditing) related to conditionally admitted and academically at-risk status.
• Communicate regularly with faculty and department chairs to track, monitor and record aspects of the student assessment process.
• Update and maintain relevant Blackboard pages and social media accounts
• Administer alumni surveys
• Collect, disseminate and support faculty and student research and service opportunities
• Schedule, plan, and coordinate the annual MPA public service recognition dinner and awards ceremony; aid Fieldwork Coordinator to develop and run similar event in Psychology.
• Manage and engage in PR/recruitment activities as follows: Attend information sessions sponsored by the College of Graduate Studies as representatives of both Program Coordinators; conduct community outreach for prospective internship opportunities; handle student inquiries about both of the graduate programs; communicate regularly with administrative partners in the College of Graduate Studies and Marketing and Communications to track and follow-up on a range of marketing initiatives.
• Schedule meetings and book rooms for a range of community, administrative, faculty, and student meetings pertaining to both programs.
• Attend Political Science GCC and Psychology GPC meetings and record minutes / distribute agendas.
• Other duties as assigned.

Required Qualifications:
1. Bachelor’s Degree
2. One to three years of full-time or equivalent part-time experience in office management, office administration, or program management.
3. Experience in scheduling, purchasing, contract administration and/or records management.
4. Excellent interpersonal, organizational and project management skills required to provide quality student centered customer service.
5. Demonstrated ability to manage equally important and competing priorities in a fast paced environment; must be adaptable and flexible.
6. Experience supporting/planning events and managing elements of an event program such as event logistics, marketing, budgeting, and vendor coordination; strong organizational skills and attention to detail a must.
7. Exceptional verbal and written communication skills, with the ability to work collaboratively as a team member, as well as to work independently.
8. Ability to exercise sound judgment and possess solid problem-solving skills.
9. Ability to maintain confidentiality and tactfulness while working with students, faculty, staff and community members.
10. Ability to establish rapport and maintain harmonious working relationships with persons from varied educational, ethnic, cultural and/or economic backgrounds
11. Proficiency in Microsoft Suite and Google Drive applications.
12. Demonstrated experience in social media platforms and website maintenance.

Preferred Qualifications:
1. Experience with Banner.
2. Familiarity with Health Care Systems (Hospitals, Clinics, Private Practice), State Regulations related to Allied Health Professions,
3. Familiarity with State and local governments and non-profit organizations.
