Duties & Responsibilities
Reporting to the Executive Dean, provides high level support for the Executive Dean including complex administrative duties with the highest degree of confidentiality and judgment, as well as strong communication and customer service skills. Manages complex, busy calendar for the Executive Dean and coordinates a variety of senior level meetings including meetings of Executive Directors and department heads. Arranges travel. Establishes and maintains filing systems, including online and offsite file storage. Updates Executive Dean’s intranet page. Orders supplies, maintains office equipment, and processes financial transactions, including PCard reconciliations, reimbursements, and invoice payments. Performs general office management functions.

Responds to the Executive Dean’s correspondence and invitations as directed. Composes and edits letters, presentations, and memos. Answers, screens and refers incoming phone calls and greets visitors. Ensures timely collection and production of the Executive Dean’s briefing materials. Works collaboratively with other departments across the School.

Researches sites and plans a series of events throughout the year including the Executive Dean’s Coffee series, dinners and offsite meetings. Works on a variety of projects as directed by the Executive Dean.

Performs other duties as necessary.

Basic Qualifications
3 or more years of experience providing administrative support.
Additional Qualifications

  • College degree preferred.
  • Strong computer skills including Word, PowerPoint, and Excel.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to maintain confidentiality and exercise discretion.
  • Demonstrated ability to manage work in a paperless environment.
  • Must enjoy working in a fast-paced environment, work well under pressure and be able to prioritize work.
  • Excellent organizational and interpersonal skills, tact, poise and the ability to handle complex, confidential issues required.
  • Dedicated team player with strong customer service orientation and sense of humor.
  • Experience working at Harvard preferred.
