Hamline University — Assistant Dean for Administration

The Assistant Dean manages the overall daily business operations of the College of Liberal Arts. This position serves as the CLA liaison to administrative units at Hamline University. As a member of the leadership team of the School, the Assistant Dean assists the dean and associate deans in strategic planning and decision-making; fiscal planning, management of the budget and allocation of resources; facilitating staff meetings and ongoing staff development, and operational development and implementation of services, activities, policies, and procedures.

Financial & Budgetary:

  • Participate in the College’s overall strategic planning process and in the development of plans for the College’s future growth and enhancement, particularly as related to budgetary and resource implications.
  • Assist the Dean in current and long-range budget planning and development, including enrollment and revenue projections, faculty and staff salaries, and operating expenses.
  • Manage and execute the annual budget based on the Dean’s allocation decisions; monitor revenue, labor, and operating expenses against allocations.
  • Coordinate the annual budgeting process and budget execution with the university finance office including capital, personnel, and operating budgets.
  • Oversee contracts and agreements for faculty, professional services, and international visiting faculty.
  • Manage private philanthropic funding, both restricted and unrestricted, including endowments, annual giving, and awards.
  • Assist the dean and associate deans by preparing reports, monitoring funding, and coordinating expenditures.
  • Manage grants and contracts; coordinate with appropriate university units.
  • Coordinate P-Card payment and receipts; and other miscellaneous purchases and payments.

Operational:

  • Implement and maintain effective data management practices for the improvement of the College.
  • Analyze and interpret institutional and environmental data as well as performance indicators in order to assist the dean and associate deans with strategic and operational planning and decision?making.
  • Oversee inventory and manage accounting for computers, phones and leased equipment.
  • Act as primary contact between the College and University central administration on matters including location coverage, space needs, and scheduling.

Administrative:

  • Serve as the College’s representative on Administrative Cabinet as well as other University-level and School-level committees and task forces as requested.
  • Serve as the College’s liaison to Centers
  • Ensure that policies and procedures are communicated to relevant internal constituents.
  • Develop, implement, and communicate administrative procedures to constituents.
  • Coordinate the hiring, training and supervision of College of Liberal Arts staff and student workers; facilitate all-College staff meetings.
  • Supervise College faculty assistants and several key staff

Additional Responsibilities:

  • Be familiar and comply with various state and federal regulations, including but not limited to the Family Educational Rights and Privacy Act (FERPA), the Higher Education Opportunity Act (HEOA), the Fair and Accurate Credit Transactions Act (FACTA), and Title IX. Exercise best practices with regard to the maintenance of confidential student information, reporting college costs, graduation data, other consumer information, and to emergency procedures and fire safety reports.
  • All other duties as requested.
