Harvard University — Assistant Director, FAS Campaign and Volunteer Management

Oversees the development activity and travel of the Dean of the FAS. Gathers input from FAS Development senior management and fundraisers in order to prioritize requests for the dean’s time. Keeps fundraisers apprised of the status of requests for the dean’s time. Tracks potential development visits the dean should undertake. Collaborates with fundraisers and senior staff to prioritize these visits. Ensures the dean has the proper briefings for development events. Works closely with fundraisers to assemble crisp, strategic briefings on individual appointments as well as overall trip objectives.

Serves as the primary development liaison with the FAS dean’s assistants and staff. Maintains excellent relations with the dean’s assistants and staff and uses discretion and judgment when making requests of the dean’s office. Ensures smooth, timely and accurate information flows between development and the dean’s office. Works closely with Dean’s office to monitor requests for activity from planning through execution to follow-up.

Works with Senior Associate Dean and Director for Development to track, monitor, and strategize about activity with the FAS top prospects.

Makes travel arrangements—either on one’s own or via oversight of a staff assistant—for the dean for development visits and special engagements. Ensures that the dean’s office is informed of travel details in a timely and accurate manner.

Manages and coordinates special projects as needed related to the dean’s development efforts. These projects might include the dean’s holiday cards, overseeing VIP email announcements from the dean, and coordinating the dean’s activities with the campaign volunteer leaders.

Takes responsibility for researching and writing briefings for the dean of the FAS as needed. Closely coordinates with the dean’s speech writer and may draft correspondence on the dean’s behalf. Makes a special effort to remain current with university-wide events and issues and to identify new and relevant facts pertaining to the FAS dean, Harvard, and our donors in order to keep the dean’s materials current, personalized, fresh, and lively. Ensures consistency of messaging in all dean’s communications and briefings.

Keeps fundraisers apprised of the dean’s development activity. Tracks the dean’s preferred procedures and development needs and communicates these preferences to fundraisers.

Manages the agenda for development meetings with the dean of the FAS. Attends these meetings, writes and distributes the notes, and ensures assignment of action steps.

Attends various Faculty of Arts and Sciences and Regional Giving training sessions, meetings, and events. Attends other training sessions, conferences, and workshops as required. Interfaces with high-level constituencies.

May be involved in coordination of FAS fundraiser training as it relates to training on working with the dean, including organizing regular training sessions, special campus-based training events, and ad hoc retreats.

Works on special projects as assigned, particularly those related to the dean’s development activity, fundraiser education or alumni cultivation efforts.

Helps to manage Staff Assistant with special projects or assignments related to the dean’s development activity including travel logistics.
